How to set material max. stock level other than MRP setting?

Question:
Dear Experts,
Is there anyone know how to set the maximum stock level of a material so that no one could replenish that material to get the total stock for that Plant not exceeding that pre-set max. stock level?
I know that we can set this for MRP run material, but the MRP lot size setup only valid for MRP run, not work for manual created PO.

The simplest solution is to prevent end user from manual creation of PO.

I think it can be done by using QM in procurement, there you can create a QM info record which limits the order quantity.
In my opinion it is a huge overhead if you need to do for every material, but it serves your requirement.

What I do mean is that you are still allowing the end users (procurement staff) to manually create PO. However, what you should do is to ensure that the PO will only be created with reference to PR.

The business requirement is, for example, that only a limited storage space is allowed for keeping A4 copying papers. After calculation, only a maximum of 4 carton boxes of A4 papers could be placed in that space.
Hence in SAP material master, I need to set the A4 copying paper to have a maximum total stock quantity (unrestricted used) = 4 carton boxes. Whenever anyone order this A4 copying papers, system need to check on real time that the existing remaining quantity against the order quantity to make sure that (unrestricted used qty + purchase qty) not greater than 4 carton boxes.
If I only make sure PO be reference to PR, how can I asure the above constrain? There may be thousands of materials to purchase and it is not possible to manually check the delta purchas quantity one by one.
Any other suggestions are highly appreciated.

Which lot sizing procedure did you use?. How did you set up your Maximum Stock Level Variant field of your related lot sizing procedure?. If possible, a detailed example shall be provided to see how your system has behaved.

What I mean (and understood) is the MRP setting only be effective for material in MRP run. That is, when running MRT, system could check on the max. stock level against the requests for replenishment. But when the replenishment is manually, system would not check on the stock leve.
It is regardless of what lot size and what max. stock level you select.
What I approach for help is to control the manual replenishment to meet also the max. stock level.

Hi,
If this is the case, then there is not any particular standard feature in SAP which enables you to make such validation during PR maintenance (and that's why MRP is preferably chosen for stock items). Of course, the control can be made when converting PR into PO. However, you would have to go back to PR and make the proper adjustment of your PR quantity. If you do look for such validation while maintaining PR, then I would suggest you to look into the activation of User Exit.
