physical inventory Problem
Dear All,
I have case in physical Inventory. I planned count physical inventory on 1 january 2004. Position of stock on 1 january 2004 (on MB5B) are
Stock on 1 january 2004 : 18.725
reciept : 0
issues : 0
Stock on 1 january 2004 : 18.725
Stock on MMBE are 13625
and i counted physical inventory. When i saw on MI20 the data are
Book inventory : 18775
Counted Inventory : 7875
Differences : 10900
When i post the differences and i saw MB5B are
Stock on 1 january 2004 : 18.725
reciept : 0
issues : 10900
Stock on 1 january 2004 : 8725
my question are :
1. why stock on 1 januari 2004 on MB5B difference from book inventory
on MI20
2. how should i do to correct the posting so my stock on 1 januari become 7875
3. whats wrong with my data physical inventory
thanks in advance
From the docu of MB5B:
The report Stock for posting date lists a company's own stocks in a
particular time period (earliest date 0h00, latest date 24h00).
The posting date is used for selection. Note that the posting date may
be different from the entry date (date entered in the system) as well as
the document date.
Starting with the current stock balance, the report uses the material
documents to calculate the stock balance for the specified posting date.
MMBE always shows the current quantity.
On which date did you create the counting document? did you set the fix book quantity indicator?
When did you count?
When did you enter the count?
When did you post the difference?
Check in MB51 all movements for your material. You may be able to find the one (or more) which might be responsible for the different quantities, display the document date and posting date. Movements where these two dates are different from each other may be the cause for your differences.
Dear Svetja,
i have physical inventory on the beginning of the month and I think there is a relation between the count inventory and the current stock. For example :
My count inventory : 7.875
stock on 1 january 2004 : 18.725
My stock on 1 januari should be 7875 after I posted my physical Inventory on 1 januari 2004 but... after i posted it , my stock became 7.825 and i try to compare my result with my current stock with all mutation from 2 januari 2004 until 7 February 2004. here is the data :
stock on 2 januari 2004 : 1825 (the result of physical inventory )
issues totals : 14.025
reciept totals : 20.025
stock on 7 february 2004 : 13.625
as a note : when i counted physical inventory on 7 february 2004, the current stock 13.635
so my asumption the result of physical inventory did not update the stock on 1 januari 2004 with the counted data but the system try to update stock until the stock on current stock 13.625
correct my asumption if i am wrong
thanks
When did you count?
When did you enter the count?
When did you post the difference
I counted my physical inventory on 1 januari 2004
i entered the count on 1 januari 2004
and i posted it on 1 januari 2004
I had physical inventory on 31 desember 2003 and i found no problem with it

That is strange, what happened in the night of silvester? Why did you have to count the same stock next day again?
You found the book inventory as 18775 but your calculated quantity by using MB5B is 18725.
Remove the totals only flag from selection screen of MB5B to display the movements as well. There you should be able to see what movement(s) you have for the differece of 50.
These documents are probably posted with wrong dates.
i have tried to input on the next day on 1 januari 2003. I have input stock 7800 on 31 Desember 2004 and on 1 januari 2004 i input 7875 ( include mutation on 1 januari 2004). But when i saw on MB5B for 1 Januari 2004 my stock ont 7875 as i want but 7825
why it happened
thanks in advance

Now it becomes really mysterious.
Can we start again from the beginning. Please try again to describe in detail when you have done what.
And what about my questions? have you looked at the movements?
I believe that you really LOVE this MB5B, even it does not tell you the truth. Look at the movements. Compare document date with posting date. Find the movement which drives you nuts.
Dear Svetja,
I have checked all good movement. there's nothing weird with my good movement.
On 31 December 2003 I post Physical Inventory and my inventory stock on 31 Desember 2003 became 18725. But somehow user gave me a wrong data physical inventory and i can't reverse that posted physical inventory. I tried to create PI document and count with the right data. I can't post it on 31 December 2003 because MM modul only allowed one previous month and so i posted it on 1 Januari 2004 with right quantity that is 7875. When I check my input on MB5B for 1 january 2004 my quantity 7825. When i felt my data did not correct, i tried to create PI document and i count 7875 again. But when i looked on MI20 my book quantity not 7825 as on MB5B but 7875. can you tell me why book quantity on MI20 is not the same with quantity on MB5B
thanks in advance
Correct me if I am wrong with my assumption:
You created the second physical inventory document in February. You only used January 1st as counting and posting date. If you would have created that document in January, then you would have been able to post to december.
SAP does not calculate the book inventory for the physical inventory document as it calucates the stock via MB5B.
The book inventory is just the stock in your location at the time you create the physical inventory document. 7875 was the stock at the time you created the PID. Check with MB5B the stock for the date you created the PID. You then probably will get the same quantity.
A physical inventory count cannot be cancelled. You always have to create a new counting document.
You have done this, that is okay.
But you then used a theoretical figure as quantity, theoretical because this quantity was correct back in december, but not correct for the day you created the new physical inventory document. You should have counted physically again at that day you created the new PID and used that count as counted quantity then.
dear Svetja,
you are right. i clearly understand what happen with my physical inventory. One more question how can i see my book inventory except comparation the good movement on MB5B with the stock when i created my PID.
On other hand i can not use MB5B to look the result of my PID right ? how to show user the result of PID
thanks

The book inventory can be seen in stock reports as you can use MMBE for a single material or MB52 for a range of materials or all in a certain storage location.
Furthermore you can see a comparison after you have entered the count in MI20. Such difference report can as well be called after you have posted the difference.
Enter for example your PID number. Flag the boxes in front of Status selection for Physical inventory documents and physical inventory items.
You can leave any other field empty.
Execute.
Popup for selection of Physical inventory documents appears, select only the box ALL COUNTED, then click continue (not execute).
Next popup for selection of physical inventory items appears, select only the box Posted, then execute.
You can as well create a query or SE16 on table ISEG Inventory segment which holds the book inventory in one of its fields.
In MI03 you can as well see the book inventory by selecting a line and click on button inventory history.
dear svetja,
thanks for your explanation. maybe you want to know what happen when i try to PID on 31 January 2004. When i do PID on 31 january 2004 and after i posted my Stock, then i check my stock through MB5B on 31 January 2004, the stock is same with my Book Inventory. please give me one more explanation for it.
thanks

I am not sure about what you want. do you have an issue with the physical inventory or with transaction MB5B ?
It looks like you want a MB5B by time.
MB5B calculates the stock at the two given dates from the selection screen.
Stock shown at the from date is the stock as it was before the first transaction happened on this day. Stock shown at the to date is the stock after the last transaction on this day.
dear svetja,
on my point is i must believe my stock in my book inventory rather than MB5B. i need to know because i have to explain it to user. I clearly understand with your explanation.
