Retro Active Accounting Date
Dear experts,
Request for your immediate suggestion/help in the following matter:
The employee date of joining (DOJ) will be 01.10.1980.
Retroactive Accounting period / date is set from 04-2006.
When the legacy data is being uploaded, system is throwing a message that, the DOJ prior to retroactive accounting period not accepted.
Now the question is that, if we set the retro-accounting period/date similar to DOJ, while retro run, the system looks for the data from retro period onwards. however, in most of the cases, the retro active accounting date would be set upto a maximum of 6 - 12 months before the live period.
how to tackle this situation.
please expedite your suggestions.
thanks in advance
The answer depends on where you are in your project lifecycle and also how you are handling the date of joining.
If you are at go-live stage then loading the historical data from before golive is not a problem as you wont have IT0003 or the control record set to not retro as you arent running payroll. At this point you should have decided how much data you are going to load and how/when you will hire these take on employees.
If you are talking about after go-live in a normal payroll month then the question would be why are you still trying to load data from before the go-live period?
Now as to DOJ - if you use IT 0041 with entry date then you should have no issue with retro date...but if you are attempting to date 0,1 etc with the DOJ then I can see you would have an issue. YOu may need to look at how you are storing DOJ and hiring people.

Dear Steve,
thanks for your post.
We are in the pre-stage and not for live or inte. testing.
We are trying to load about 3-5 hundred records for testing the scenarios. Then facing this problem.
Do you say that, for all these records, IT0041 to be maintained with actual DOJ and if so, this problem would not arise.
Then what would be the case for go-live stage.
could you pl. come back to me at the earliest.
thanks in advance.
Hi,
If you have trouble loading your data, you need to change the 'Earliest retro acctg period' in PA03 to the earliest date. It has nothing to do with IT0041. So if you're earliest employee record is in 1980, change it to something like the last period in 1979.

As bigchief says - if you are just trying to load historic data then put your control records back to come earlier date and make sure IT0003 ER dates are also early (there is a program to set these back automatically).
The IT0041 scenario was because you seemed to be saying you were loading everyone with their begin dates as the date of hiring. This is a way to do it - however using IT0041 for the date of joining and then hiring people 1 year or perhaps six months beofre your payroll golive is another way to go. It all depends on how much history you need to hold really.
